Members Only Home Page - When your employees log into EMS Manager they will be welcomed by your Message Board and the EMS Manager Dashboard.
The Scheduling System - The Scheduling System is the heart of EMS Manager. It has a variety of advanced features which allow companies big and small to deal with a variety of employee types, locations, and scheduling criteria.
Multiple Schedule Views - By offering several different types of schedule views, EMS Manager is well suited for full-time, volunteer and combination ambulance companies and fire departments.
Employee Database - The Employee Database tracks information about your employees such as: name, title, date hired, phone number, pager number, scheduling qualifications, certifications, refreshers, immunizations, etc... If additional data fields are needed let us know, we can add whatever you need.
Additional Features - EMS Manager offers a plethora of additional features, including but not limited to:
Message Board
On the left side of the home page is the message board where administrators can post any content such as messages and reminders using the Message Board Editor. What is displayed on the messgae board is entirely up to you...
Dashboard
On the right side of the page is the dashboard which displays upcoming shifts, trade requests, meetings and special events as well as local weather info. Administrator(s) see this info, plus trade and time off requests requiring their attention.
The dashboard offers a quick and easy way for members and administrators to quickly and easily see all the relevant information they may need to know, all in one place.
Message Board Editor
Administrators use the Message Board Editor to update the content on the left side of the home page.
It runs right in the browser window, and has editing features
similar to desktop word editing programs, and allows you to past directly in from Microsoft Word and retain the formatting.
Hourly Editor
Administrators use the Hourly Editor to add employees that are not scheduled as part of a typical rotation. Consolidated availability information is displayed for employees qualified to work on a particular schedule or rig. Unqualified employees will not be displayed and can not be scheduled.
The Hourly Editor has the following additional time saving features:
- Members with Prefered availability float to the top
- Blocked Time assignments
- Direct scheduling or float up scheduling
- Mini reports showing weekend, weekday and total hours scheduled
- Access to personal My Schedules and Availability for all employees
Repeats and Rotations
The Repeats and Rotations page is used to schedule employees who typically work a specific rotation. A wide variety of rotations are pre-programmed into EMS Manager included Chicago, California and many others.
If you use a specific rotation which is not currently available in EMS Manager let us know and we'll add it.
Availability Editor
The Availability Editor allows volunteers, paid-on-call employees or part time employees to classify their time as Available, Prefered or Unavailable.
The availability information appears on the schedule editor and the master availability page.
If an employee has the same availability from month to month, he/she can repeat their time so they don't need to update it every month.
Trade Requests
If your company allows employees to submit trade requests, this page is available for that purpose.
The trade system gives members the opportunity to trade hours with other members who are unscheduled and qualified for that position
The trading system is very flexible and allows your company to choose between Automatic and Manual trade approvals. Once the trade is approved, all schedules are updated automatically.
Time Off Requests
This page allows employees to submit Time Off Requests. If the employee is entitled to paid time off the administrator who approves the request can assign any designation such as Vacation or Sick Leave and then assign the proper number of "paid" hours.
Once time off has been approved all schedules, availability and reports are automatically updated.
Weekly Block View
This view was specifically developed for companies who require very flexible scheduling for part-time employees and volunteers.
It gives an easy-to-understand visual layout of the schedule, and helps to easily identify open time blocks.
Weekly Shifts View
This view was specifically developed for larger services who use more full-time people working regular shifts and rotations. This view also works well for scheduling combination fire and police departments.
Monthly Calendar View
The Monthly Calendar View shows a more traditional calendar view of the work schedule.
The administrator can setup the system to display shifts within the dates they occur, or only on the day the shift begins. If you always have shifts spanning accross midnight this feature can greatly reduce the clutter for this view.
Administrators can view the schedule editor for a particular date by clicking on the date.
Members can sign-up for available shifts (if your company allows this) by clicking on the date.
My Schedule
The My Schedule page allows employees to see when they are scheduled to work within any given month.
If your company assigns employees to specific stations or rigs, this page displays that information as well for each shift.
Events Calendar
The Events Calendar allows administrators to post upcoming events such as meetings and training classes.
All members can view the Events Calendar but only administrators can edit it.
Reports
EMS Manager allows administrators to view a variety of reports including: Availability, Scheduled Hours, Paid Time Off, Certifications, Immunizations and Refreshers.
Each employee can view the reports for their own information but they can not see reports for other employees.
Member Info Add / Edit
Administrators can edit any of the information on this page and they can adjust the Setup preferences to allow membes to edit some or all of this information themselves.
This page also includes an area where you assign which positions an employee is qualified to work.
Aggregated information from the employee database is displayed on the employee roster and within the reports.
Employee Roster
From this page administrators can view member information such as:
- Member names, phone numbers, email addresses, pager numbers
- Hire date
- Title
- Individual monthly availability
- Individual monthly schedules
You can also filter the list by:
- Active vs Inactive employee status
- Qualified positions
